Refund Policy

Claire Dolan Occupational Therapy

Claire Dolan Occupational Therapy is committed to providing high-quality, professional services with clarity and fairness in all client interactions. This policy outlines our approach to cancellations, rescheduling, and refunds.

1. Cancellations & Rescheduling

We understand that life with children, health conditions, and other responsibilities can be unpredictable. If you need to cancel or reschedule your appointment:

  • Please provide at least 24 hours’ notice prior to your scheduled session.

  • Cancellations or rescheduling requests can be made via email or phone.

  • We will make every effort to accommodate rescheduling within a reasonable time frame.

2. Late Cancellations & Missed Appointments
  • Less than 24 hours' notice may result in a cancellation fee of up to 50% of the session cost, unless due to unforeseen circumstances (e.g., illness, emergency).

  • Missed appointments without any prior notice (no-shows) may be charged the full session fee.

3. Refunds
  • Refunds are available only for sessions that were cancelled in advance and where no alternative date was arranged.

  • If you cancel within the appropriate time frame and have already paid, you may request:

    • A full refund, or

    • A credit applied to your next session

  • Refunds will be processed via the original payment method within 5–10 working days.

4. Therapist Cancellations
  • If Claire Dolan must cancel a session due to illness or unforeseen circumstances, you will be offered:

    • A full refund, or

    • The option to reschedule at no extra cost

5. Technical Issues (Virtual Sessions)
  • In the event of significant technical issues during a virtual session (e.g., connectivity failures), we will:

    • Attempt to resolve the issue immediately

    • Reschedule the session if needed at no additional cost to you

6. Exceptional Circumstances

We understand that clients may face unexpected personal, medical, or family situations. If you are unable to attend due to such events, please let us know as soon as possible. We will always aim to approach such cases with understanding and flexibility.
